How can I manage my mail so my account doesn't go over quota?
BSD email accounts are allotted 500MB of online email storage space. How do you keep your mailbox size manageable? Here are some tips:
- Purge that Sent folder! The Sent folder is often a culprit when it comes to mailbox size, so many times cleaning it out can go a long way toward keeping your mailbox size down.
- Attachments pile up quickly. Email messages are typically very small, but adding attachments can increase message size dramatically. Attachments are typically the #1 reason accounts go over quota.
- When collaborating on a document with a colleague, consider placing the document on a shared drive to prevent multiple drafts from ending up in everyone's inbox.
- Save the attachment elsewhere and delete the message. If you need a copy of the message for archiving purposes, right click on the attachment in Outlook and select Remove. This saves the message but without the bulky attachment.
- Archive your older mail. Archiving can be set up automatically in Outlook, or can be done manually anytime.
- You can also sort and group your mail by message size so you can see what is taking up space.
